Business Profile
Your business profile controls how your lead forms and CRM pages look to customers. Set it up once and it applies everywhere.
What you can customize
- Business name — shown at the top of your forms and invoices.
- Logo — upload your own logo to replace the KwoTit brand (Pro & Lifetime plans).
- Brand colors — pick a primary color that matches your brand.
- Welcome message — a short intro customers see when they open your form.
Branding removal is available on the Pro and Lifetime plans. On the Starter plan, a small "Powered by KwoTit" badge appears on your forms.

Embed on Your Website
If you have a website, you can embed your lead form directly on any page. The form will match your site's look and feel.

Open the Lead Form Editor
Go to your form in the dashboard and click "Edit".

Scroll to the bottom
Find the "Embed Code" section. It contains a small snippet of HTML.

Copy the code
Click the copy button. The code looks like this:

Paste it into your website
Add the code where you want the form to appear. That's it — the form loads automatically.
The embedded form is responsive and works on mobile, tablet, and desktop. It also respects your website's width and styling.
Pipeline Stages
Your pipeline is a kanban board that tracks every lead from first contact to payment. KwoTit moves leads through stages automatically as you work.

Contacts
Every customer who fills in a lead form automatically becomes a contact. Their name, email, phone, and request history are saved in one place.
What you can do with contacts
- View full history — see every request, quote, and invoice for a customer.
- Create new quotes or invoices — without asking them to re-enter their details.
- Add notes — jot down reminders or important details.
- Search and filter — find any contact by name, email, or phone number.
Contacts are shared across your whole team. If you invite team members, they can see the same contact list and pick up conversations where you left off.
WhatsApp Follow-up
Speed matters when closing deals. KwoTit lets you start a WhatsApp chat with any lead in one tap — no copying numbers, no searching through your phone.

Open a lead in your pipeline
Click on any card in the "New" or "Contacted" stage.

Tap the WhatsApp button
A green button appears on the lead detail panel. Tap it to open WhatsApp with the customer's number already filled in.

Send your message
You can send a pre-written message or type your own. The customer receives it instantly on WhatsApp.

Pipeline updates automatically
Once you've messaged them, the lead moves to the "Contacted" stage on its own.
Customers can also message you after they've pre-qualified themselves through your form. They'll see a WhatsApp button on the success screen, so they can reach out immediately.

Steps to create an invoice

Open a lead or contact
Go to the lead in your pipeline or the contact in your address book.

Click "Create Invoice"
KwoTit generates an invoice with the customer's name, contact details, and the quoted amount.

Review and adjust
Add line items, change quantities, apply discounts, or add notes. Everything is editable.

Send to customer
Send the invoice via email, WhatsApp, or share a link. The customer can view and pay online.
Invoices are PDF-ready. You can download a copy for your records or print it for in-person clients.
Deposits & Balance
For many service businesses, collecting a deposit upfront is essential. KwoTit makes it easy to split payments into a deposit and a balance — all from the same link.
How deposits work
- Set a deposit amount — choose a fixed amount or a percentage of the total.
- Customer pays the deposit — they receive a secure Paystack link for the deposit amount.
- Balance is tracked — KwoTit shows how much is remaining on the invoice.
- Send a balance link later — when the work is done, send a second payment link for the remaining amount.
Both deposit and balance payments update your pipeline automatically. When the final payment is confirmed, the lead moves to "Won".
Paystack Payments
KwoTit integrates with Paystack to handle online payments securely. Customers can pay with cards, mobile money, or bank transfers — depending on their location.
What you need to know
- You need a Paystack account to receive payments — KwoTit just only handles the integration.
- Money goes directly to your account — KwoTit never holds your funds.
- Payment status is automatic — when a customer pays, the invoice is marked as paid and your pipeline updates.
- Supported countries — Ghana, Nigeria, South Africa, Kenya, and more.
You'll need to connect your own Paystack account in Settings to receive payments. KwoTit walks you through the connection process step by step.
Invite Team Members
KwoTit isn't just for solo entrepreneurs. With the Teams feature, you can invite staff into a shared workspace and manage leads together.
What team members can do
- See and manage leads — everyone works from the same pipeline.
- Assign leads — assign a lead to a specific team member so nothing falls through the cracks.
- Add notes — leave internal notes on leads for other team members to see.
- Send quotes and invoices — anyone on the team can generate and send them.
How to invite someone

Go to Settings → Team
Open your account settings and find the "Team" section.

Enter their email
Type the email address of the person you want to invite.

Choose their role
You can set them as an Admin (full access) or Member (limited access).

Send the invite
They'll receive an email with a link to join your workspace. Once they accept, they're in.
The number of team members you can invite depends on your plan. Starter allows 1 user, Pro allows up to 4 users.
Branding
Make KwoTit look like your own tool — not ours. On Pro and Lifetime plans, you can remove the KwoTit name and replace it with your own branding.
What you can customize
- Logo — upload your logo to appear on forms, invoices, and CRM pages.
- Primary color — choose a color that matches your brand identity.
- Business name — displayed prominently on all customer-facing pages.
- Welcome message — a short greeting customers see when they open your form.
- Remove KwoTit badge — the "Powered by KwoTit" text disappears completely.
To set up branding, go to Business Profile in your dashboard and fill in the fields. Changes apply instantly across all your forms and pages.
Currencies
KwoTit supports multiple currencies so you can quote customers in the money they use. Prices display in the customer's local currency, with automatic conversion from USD.

You can switch currencies from the header on any page, or set a default currency in your Business Profile. Customers see prices in their detected currency automatically.
Troubleshooting
Quick answers to common issues.
My form isn't showing up on my website
- Make sure you pasted the embed code exactly as shown — don't change any part of it.
- Check that your website allows scripts. Some builders (like certain website builders) may strip out the code.
- Try viewing your website in an incognito window to rule out caching issues.
I'm not receiving email notifications
- Check your spam or promotions folder — email providers sometimes filter notifications.
- Make sure your email address is correct in your account settings.
- Go to the settings page in your dashboard and make sure the toggle for new customer requests is turned on.
- On the Starter plan, you're limited to 50 email notifications per month. If you've hit that limit, upgrade to Pro for unlimited notifications.
My lead form stopped accepting requests
- You've probably reached your monthly request limit. Check your dashboard for a message.
- Starter plan allows 50 requests per month. Pro plan has unlimited requests.
- You can upgrade your plan at any time to lift the limit immediately.
Payments aren't showing up
- Make sure you've connected your Paystack account in Settings.
- Check that your Paystack account is fully verified and can receive payments.
- If a payment was successful but not showing in KwoTit, contact support — we'll help you trace it.
